Step 1 — Open Projects HQ
Check Project Pulse for the quick read, scan Needs Attention for anything urgent, and see what's already on your calendar for today.
Step 2 — Create your first project
Use the quick-create buttons — Personal, Internal, or Client — or start from one of the three built-in templates.
Step 3 — Add tasks and give them Working Dates
Set a working date range on each task. Due date calculates itself — and the task now shows up in This Week automatically.
Step 4 — Work from the project page
Overview, key dates, tasks, meeting notes, resources, decisions, assets, closeout — everything for this project lives on one page.
Step 5 — Run the Weekly Reset
Once a week, work through the built-in checklist: clear overdue, clear your Inbox, check project health, review blocked work, pick your priorities, assign working dates, confirm next steps, archive what's done.
Step 6 — Close projects properly
When a project wraps, run its Closeout Checklist so final files, invoices, testimonials, and lessons learned don't get forgotten.

What's the return policy?

Is Projects HQ a CRM?
No. Projects HQ is intentionally not a CRM. It does not replace lead tracking, contracts, invoices, payments, or a client portal. It is the delivery workspace for the actual project work.
Does this include a client portal?
No — that's intentional. If you already use a CRM like Moxie, Honeybook, Dubsado, or another client platform, that tool should handle the client-facing side. Project HQ is for your internal delivery workflow.
Can I use this for client projects?
Yes. Projects HQ works well for client delivery, especially if you already have a separate CRM or client communication tool.
Can I use this for internal or personal projects?
Yes. Every project starts from one of three templates — Client, Internal, or Personal — so the structure fits the work from the start.
How many databases are included?
Four: Tasks, Projects, Resources, and Meetings — connected to each other, so a project page automatically pulls in its own tasks, resources, and meeting notes.
What's the difference between a due date and a Working Date?
A Working Date is a realistic range of time you've set aside to actually do the work. The due date is calculated automatically from the end of that range — so your This Week view reflects when you're planning to work, not just when something is technically due.
Does this include the Calendar Widget?
Not in the base $27 template. The Calendar Widget is a drag-to-reschedule calendar layer synced to your Working Dates — you can add it as a $47 bundle at checkout, or grab it separately for $27 if you want it for a different workspace. It's not required to use Projects HQ.
Does this work with Moxie, Honeybook, or Dubsado?
Yes. Projects HQ is CRM-agnostic. Use your CRM for leads, contracts, invoices, payments, and client-facing communication. Use Project HQ for internal delivery.
Is there setup required?
Yes, but it's lightweight. Duplicate the template, review the setup guide, add your first project, and start using the Weekly Reset. Most people finish core setup in about an hour.
